The appointment request process is one of the most valuable parts of the TEAMS experience. Use the resources below to access the appointment portal, review important deadlines and learn how to maximize your meeting schedule.

How the Appointment Process Works

STEP 1:
Access the Portal

Log in to the appointment portal using the email address (all lowercase) provided in your registration confirmation.

*Important note for Exhibitors: If you are sharing a table with another company/or person attending from your company, the primary registrant has access to the system and that person's email address should be used to access the platform to make requests.  

Initially, leave the password field empty (blank). You can set a password after your first login (although this is not required), by going to My Profile (on the left) > Change Password button. 

STEP 2:
Update Your Profile

Go to Additional Options > My Profile.

A complete and up-to-date profile helps the system match you with the most relevant event organizers or exhibitors.

STEP 3:
Review Event Organizers or Exhibitors

In the system, you can view the full Directory of participating event organizers and exhibitors.

Click on their photo to view their complete profile. 

You can search by Name, Company, or use the Advanced Search Button (looks like a funnel) to narrow your search for attendees using key filters about them. 

STEP 4:
Request Appointments

  • Click on the button under their photo - select "Request”, Do Nothing, or “Exclude," and choose a priority level to request them. (priority 1 is highest priority, priority 5 is lowest priority)
  • Make at least 50 appointment requests (you may select up to 75).
  • You can mark up to 20 organizers as “Priority 1”. Use priorities 2–5 for the rest.
  • To cancel a request, click the same priority number again.
  • You do not need to make a request for every organizer.

Event Organizers Only
Matches are based on mutual selections first, then one-way matches.

Your schedule may include exhibitors you did not select if they selected you.

 

STEP 5:
Block Time Slots (If needed)

If you have any scheduling conflicts, please email dmadden@ntmllc.com with the dates and times you are unavailable by Thursday, October 8, so we can accommodate your schedule.


Event Organizers
Please block any times you are unavailable in the appointment system and email ngoddeyne@ntmllc.com with any scheduling conflicts by Thursday, October 8.

Appointment windows:
- Wednesday, October 28: 9:00–11:30 AM & 1:25–2:00 PM, 2:25 PM-3:00 PM
- Thursday, October 29: 9:00–9:40 AM, 10:30 AM-11:00 AM & 2:00 PM-4:00 PM

STEP 6:
Save and Revisit

You can log in as often as you like to adjust your selections.

Deadline: Complete all requests by Thursday, October 8 at 8:00 PM PT.

STEP 7:
Review Your Schedule

Appointment schedules will be released the week of October 19. You’ll receive an email as soon as your schedule is ready, at which time you can log in to the appointment system to view and print your schedule.

Event Organizers

Show Up for All Meetings

Attendance at every scheduled appointment is required as part of your participation. These meetings are valuable opportunities to expand your business network.

Event Organizer Prize Contest

Ten $500 prizes will be randomly awarded to event organizers who complete all scheduled appointments. Winners will be announced at the Closing Party on Thursday, October 29.

Helpful Scheduling Tips

Maximize Your Appointment Schedule

✔ Review attendee profiles before submitting requests
✔ Prioritize your highest-value meetings first
✔ Submit a full list of requests rather than only a few selections
✔ Ensure your profile accurately reflects your organization
✔ Check portal updates regularly throughout the scheduling process
✔ Be open to discovering new organizations and business opportunities

Key Information

  • We recommend making a minimum of 50 appointment requests minimum. See info below, in the last bullet, about printing a list if you want to review and take some notes as you review the list. 
  • There are 40 total appointment slots over the two days of appointments. There will likely be some open appointment slots in your schedule for breaks. Please remember there is ample networking time throughout the event to meet others with whom you don’t get a scheduled one-on-one appointment.  
  • Exhibitors: You can make up to 6 "Exclude” notations for anyone you definitely do NOT want a meeting with (i.e. you know them already, met them recently, etc.). Exclusion requests are not seen by the other party. It just means that an appointment will not be set with that person, even if they request you. Email dmadden@ntmllc.com if you need more exclusions, with reasons.  
  • Event Organizers: You can make up to 4 "Exclude” notations for anyone you definitely do NOT want a meeting with (i.e. you know them already, met them recently, etc.). Exclusion requests are not seen by the other party. It just means that an appointment will not be set with that person, even if they request you. Email ngoddeyne@ntmllc.com if you need more exclusions, with reasons.  
  • Exhibitors and sponsors are invited to participate in the Event Organizer Reverse Marketplace on Tuesday, October 27, at 3:30 p.m. to fill open appointment slots. This is an opportunity to connect with event organizers, schedule additional meetings and coordinate other times to meet during the TEAMS Conference.
  • Printed profiles of attendees are not provided onsite; but you can print, or save as a pdf, a directory style listing from Print Options on the left drop down menu (not the top right). You can either Print Contact Info, or a longer (document under Print Profiles. Alternatively, you can use the upper right “Print List” button (a few pages without photos).

How do I access the appointment portal?
Click the "Access the Appointment Portal" button above and log in using your registration credentials.

Can I edit my requests after submitting them?
Yes, requests may be modified until the appointment request deadline.

When will I receive my final schedule?
Appointment schedules will be available following the matching process. Refer to the Important Dates section above.
